Privacy policy
How Theatrical Adventures Ltd collects, uses and looks after your personal information — on this website, in My Booking, when you join the Travel Club and when you travel with us. Last updated 12 October 2026.
Who we are
Theatrical Adventures Ltd is the data controller for the information described here. We are registered in England and Wales (company no. 07188911) at The Old Vicarage, All Souls Road, Halifax, HX3 6DR, and with the Information Commissioner’s Office under registration ZA811672. Questions about your data: bookings@theatricaladventures.com or 01422 323 252.
What we collect and why
Your name, title, address, email address and telephone numbers — to make and manage your booking, send your documents and contact you about your holiday. Lawful basis: performing our contract with you.
Your booking details — the cruise, cabin, dates, who you are travelling with, special requests, payment schedule and payment history. Lawful basis: contract, and our legal obligation to keep financial records.
Payment information — card payments are taken by Stripe; we never see or store your full card number. Bank transfers are matched using the reference you quote. Lawful basis: contract.
Guest forms — passport details (number, nationality, date of birth, expiry), travel plans, and any dietary, medical or mobility needs you tell us about. The ship, our partners and border authorities need passport and travel details to carry you; dietary and medical information is used only to look after you on board. Health information is special category data and is processed with your explicit consent, which you give when you complete the form. Lawful basis: contract, legal obligation (border and ship manifests) and your consent for health information.
Travel Club and enquiries — the details you give us on this website (name, address, email, phone, which cruises interest you, whether you would like a brochure) and your marketing preferences. Lawful basis: your consent for marketing; legitimate interest in answering an enquiry.
My Booking — when you sign in we record the sign-in link you requested, the device it was used on and when, so that your account stays secure. Lawful basis: contract and legitimate interest in security.
Correspondence — emails we send you and notes of conversations about your booking, kept so that anyone in our office can help you. Lawful basis: contract and legitimate interest.
Marketing
We only send marketing by post or email if you have asked us to — by ticking the box on the Travel Club form, at the checkout, or by telling us on the phone. You can change your mind at any time: use the unsubscribe link in any email, email us, or call us. We never sell your details and never share them with other companies for their own marketing.
Who we share information with
•
The ship operators, hotels and transport companies who provide your holiday — the information they need to carry and look after you (passenger lists, cabin allocations, dietary and mobility needs).
•
TMU Management Limited — the bookings we declare so that your money is financially protected; they will email you about your cover.
•
Stripe (card payments), Supabase (our booking system’s database and file storage, hosted in London), Vercel (hosting), Resend (sending our emails), Framer (this website and its forms), Mailchimp (marketing emails, only if you have opted in), Dropbox (document storage), and Apple or Google if you add a cruise pass to your phone’s wallet.
•
Our accountants, auditors, insurers and legal advisers where needed.
•
Border, port and public authorities where the law requires it.
Some of these providers process data outside the UK (for example Mailchimp, Resend and Vercel in the United States). Where they do, the transfer is covered by the UK’s international data transfer agreement or an adequacy decision, and by the provider’s own security commitments.
How long we keep it
•
Booking, invoice and payment records: seven years after your holiday, as tax law requires.
•
Passport and travel-form details: removed within twelve months of the cruise ending, unless you have another booking with us.
•
Dietary, medical and mobility notes: removed within twelve months of the cruise ending.
•
Travel Club details and marketing preferences: until you ask us to stop, then a record of your request so we don’t contact you again.
•
Website enquiries: two years.
•
My Booking sign-in records: ninety days; a session lasts thirty days unless you sign out.
Your rights
You can ask us for a copy of the information we hold about you, ask us to correct it, delete it, restrict how we use it, or object to our using it; you can also ask for a copy in a portable format and withdraw any consent you have given. Email bookings@theatricaladventures.com or write to us at The Old Vicarage, All Souls Road, Halifax, HX3 6DR. We will reply within one month. If you are unhappy with how we have handled your information you can complain to the Information Commissioner’s Office at ico.org.uk or on 0303 123 1113.
Keeping it safe
Our booking system stores your information in an encrypted database with access limited to our office staff, each with their own sign-in. My Booking uses one-time sign-in links sent to your email address rather than passwords. Card payments are handled entirely by Stripe.
Cookies
This website and My Booking use a small number of cookies. Our cookie policy at theatricaladventures.com/cookies explains each one and how to change your choice.
Changes
We will update this policy when the way we use your information changes and show the date at the top. Last updated 12 October 2026.
